IT knowledge bases: an example

IT knowledge base map for a retailer: areas for accounts, network access, devices, stores and people, each service shown with its most asked-for article, such as resetting MFA or a till that will not take cards.
  • A map of every service

Readers find the right article by finding the service first.

  • Articles behind the tiles

Steps, warnings and contacts open from the tile they belong to.

  • Searchable as it grows

On the Team plan, a folium turns the articles into a searchable documentation site.

The basics

What is an IT knowledge base?

An IT knowledge base is a collection of articles that help people solve IT problems and complete common tasks without calling the service desk: resetting MFA, joining Wi-Fi, requesting a laptop, fixing a till. Good knowledge bases also hold the internal articles the service desk works from.

Most knowledge bases fail because people cannot find the article they need. Organising articles around the services people recognise, with a map they can scan, gets them to the answer faster than search alone.

In Blueprintr a knowledge base can start as a blueprint like the example, with articles behind the tiles, and grow into a folium: a documentation site with a page tree, search, page comments and analytics on failed searches.

Why Blueprintr

A knowledge base people use

Start with a map of your services, grow into a documentation site.

  • A map of your services

Group services by subject on one canvas, each with its top article beside it, so readers start from what they recognise.

  • Articles behind the tiles

Write each article in a stratum with numbered steps, warnings, images and contacts, opened from the service it belongs to.

    Stratum
  • A documentation site

On the Team plan, a folium holds the knowledge base as pages with a page tree, search with excerpts, redirects, page comments and its own domain.

    Folium
  • See what people cannot find

Folium analytics show searches that returned nothing, so you know which article to write next.

  • Answers from your articles

A folium's docs assistant answers readers from your pages and files a change request when it finds a gap. It is off until you switch it on.

  • On the intranet front page

On the Team plan, Atrium puts the knowledge base on your organisation's internal homepage, with search across your published docs.

  4. Share it with staff

Publish it privately to your organisation, and link it from the service desk portal.

  5. Grow it into a folium

As articles multiply, move them into a folium for search, a page tree and analytics.

FAQ

Questions about it knowledge bases

Is this IT knowledge base software free?

You can map services and write articles on the free Personal plan. Folium documentation sites, their search and analytics, and Atrium are part of the Team plan.

What should an IT knowledge base include?

Articles for the tasks people ask about most, steps a non-specialist can follow, what to do when the steps fail, who to call, and an owner and review date for every article.

How do I make knowledge base articles easy to find?

Organise them around the services people recognise, give each a plain title that matches what people type, and watch the failed searches in folium analytics to see what is missing.

Can I import my existing knowledge base?

Into a folium, yes, from Docusaurus, GitBook, ReadMe, Fern, Document360 or a markdown archive, as one zip of up to 32 MB. You see the page tree before anything is imported.

Can staff search across every article?

Yes. A folium has its own search with excerpts, and Cmd K searches the titles and text of every blueprint and folium page a person can open.

Can the knowledge base be private?

Yes. A folium can be private to signed-in members of your organisation, unlisted with an optional password, or public. Atrium is members-only by default.
