Client onboarding: an example

Client onboarding swimlane for a managed service provider: account management, projects, NOC and the client in lanes across six weeks, from contract signed through discovery, an urgent-risk decision, documentation and go-live to a 30-day review.
  • Week by week

Every step sits under the week it happens, so the timeline reads across the page.

  • Hand-offs you can see

Lines between lanes show where one team waits on another, the client included.

  • A checklist behind each step

Owners, due dates and go-live criteria open from the step itself.

The basics

What is MSP client onboarding?

Client onboarding is the process a managed service provider follows to take on a new client: signing, collecting admin access, discovering and documenting every site, deploying monitoring and backup, briefing the service desk and going live, often while the previous provider hands over.

Most onboarding problems happen at the hand-offs: access that arrives late, a site nobody booked, a service desk briefed the day before go-live. A swimlane process map makes those hand-offs visible to everyone involved, including the client.

In Blueprintr the onboarding plan is a swimlane diagram, and each step opens a stratum with its checklist, owner and deadline. Save it as a template and every new client follows the same process.

Why Blueprintr

Onboarding plans your whole team follows

One swimlane per client, with the detail behind every step.

  • Swimlanes and flowchart shapes

Draw lanes as containers, steps as boxes and decisions as diamonds. Vellum also includes flowchart and BPMN shapes when a process needs them.

  • A checklist behind each step

Give each step a stratum with a numbered checklist, the owner and the due date, so the plan and the detail stay together.

    Stratum
  • The same plan for every client

Save a finished onboarding as an organisation template, so each new client starts from the same weeks, lanes and checklists.

  • Documentation from day one

Record discovery findings straight into the client's own blueprint, so the documentation is ready when support goes live.

  • Discovery help

On the Team plan, Continuum Cloud draws a client's AWS and Azure from a read-only scan. On Enterprise, Continuum Local discovers their on-premise network.

  • Walk the client through it

On Premium, present the plan at kickoff with Podium, step by step on the live diagram, so the client sees what they owe and when.

  4. Add checklists and owners

Right-click each step and add a stratum with its checklist, owner and due date.

  5. Share it with the client

Share the blueprint privately with the client's sponsor, and update it as the weeks go by.

FAQ

Questions about client onboarding

Is this client onboarding template free?

Yes. The editor, swimlane shapes and strata are on the free Personal plan, and the Compendium includes a customer onboarding swimlane to start from.

What should an MSP client onboarding checklist include?

Contacts and approvers, admin access from the previous provider, a discovery visit per site, documentation, monitoring and backup with a test restore, a service desk briefing, how staff will be told, and a 30-day review.

How long does MSP client onboarding take?

It depends on the number of sites and how quickly access is handed over. The example plans six weeks for seven sites; a single-office client can often go live sooner.

Can I reuse the same onboarding plan for every client?

Yes. Save it as an organisation template. Each new client gets a private copy to adjust, and the template itself stays unchanged.

Can Blueprintr track progress like a project tool?

No. Blueprintr is not a task tracker. Teams colour steps as they finish, record the status in the plan's stratum and link each step to the ticket in their own service desk tool.

Can the client see the onboarding plan?

Yes. Share the blueprint privately with named people at the client. They can open every step and its checklist, and they see each update when you publish.
